Top Producer Help: 4 Tips To Maximize Your CRM

Everyone knows that Top Producer is a powerful and popular CRM for real estate.  So why aren’t more agents using it to the fullest?  Because they need a little help of course! Below are 4 tips on Top Producer that will really help you get the most out of the system and if used will absolutely help you get ROI out of the program.

Tips and advice for Top Producer 8i

1.  Full MLS Data Integration Into Each Contact Record

Top Producer recently released a new feature in 8i that will actually map out all of the listing and sold data from any clients neighborhood with the click of a button.  The best use of this feature is prospecting your current database.  We know a lot of Realtors who have names, addresses and phone numbers, but are missing an email address.  By calling your clients and offering to simply help them understand their own market you bring the value of being the neighborhood expert.  Then after you have shown the call to be valuable and not just “know anyone looking to buy”, ask for their email and let them know you will be sending out this information monthly in an email that they can check out on their time!  If you have Market Snapshot it makes it even easier because from the same screen you can choose perform action, create Market Snapshot.  Now that client gets their monthly, automated, detailed market analysis and you go back to work!

2.  Facebook and Twitter Integration In Every Contacts Record

While adding your own notes to a clients file will never go out of style, something big is happening right now with social media.  Top Producer has recognized that and by incorporating both Facebook and Twitter into 8i you now have the clients adding notes for you each time they do a status update or a tweet.  Think how critical that information is when contacting a client.  The movie they just saw, the vacation they were just on, the dinner they just ate, etc are all now right there in your database…point is people are sharing freely what matters the most to them and by that information now adding itself dynamically to each client file in Top Producer.  This new feature really defines the concept of Customer Relationship Manager or CRM.  Database management is not just a “system” but an aggregator of relevant data that makes it easier for you to manage 1000′s of online and real life relationships.

3.  Update Your Facebook Page Without Leaving Top Producer 8i

While updating your profile in Facebook was an added feature to Top Producer updating your business page was not.  I figured out a great workaround that actually allows you to choose which Facebook section to update.  With Facebook Pages becoming the main way of gaining new business in Facebook, it is great that you can now update your page without leaving Top Producer 8i.

4.  Create a Stand Out Craigslist Ad in Minutes Using Top Producer Market Snapshot

Let’s face it.  Most Craigslist ads suck.  The monotony of searching through 2bd/2ba cute and cozy can be an awful experience.  Top Producer has a new ad creator for Craigslist that quickly builds a stand out ad and captures leads by offering a Market Snapshot.  By having a relevant deliverable in your ad that doesn’t require anyone actually gets in touch with you works.  Instant, automated and no need to speak with an agent are music to my eyes when browsing the web!

    I was thinking about going with Sales Force however I hired someone to do some research on different CRMs and their final recommendation based on research was Top Producer. Thanks for the info it may help me make my decision faster.

    I have been happily using TP for about four years. IPhone version was just released and I am waiting for a Android version.

    I have been using TP for years but I am finally moving on… They need a team plan. A team of 4 would pay $230 per month assuming they had market snapshot.

    With new companies like wiseagent(still need a lot of work) MyREDTools (again more work) and sharper agent, hopefully TP will realize they need to adjust their thinking.

    STILL not mac compatible. Its like building a Ford Steering Wheel to fit a Honda…. No sense…

    Salesforce.com is down right fascinating. I am integrating it with my website right now. Top Producer is probably much more economical and more appropriate for those that are not very, very techie, but for the truly tech savvy that can’t sleep at night trying to think of new customizations to mine their data with, the sky is the limit.     I tried Top Producer for a couple years, but just wasn’t all that impressed. I’m also looking into Salesforce, but the items you pointed out are cool.

    Obviously there is one HUGE problem that floors me that they’re still not addressing: NO MAC COMPARABILITY! Also I use the Market Snapshot and really wish they had a better and more usable interface. What clients see is fantastic, but what I get to manage it with is really lacking.

    Thanks for pointing out their features… Maybe if you met with them, they’d listen to you! :-)

    we’re actually test driving both Top Producer and Broker’s Helper right now. I’d like to see TechSavvyAgent do a few reviews on CRMs other than TP. and something that’s Mac Friendly.

    I’ve been using TP and Market Snapshoot for a year now and also thinking of trying something different. Market Snapshot is nice but not $100 a month nice.

    Pros:
    Pulls my listings in
    Shows my Listings / Pendings / closings
    Calculates my income for the year

    Cons:
    No Mac or iPad Support
    Doesn’t auto update with my listings for price changes and such
    Doesn’t calculate correctly for referrals
    Price if you are on a Team sharing a Database
    Emails don’t show anything you added after sending
    Flyers and such are to difficult to build

    What is everyone else using?

    Your database is the fundamental foundation of your business. Everyone wants to think they need to reinvent the wheel. TP8i does 95% of what every realtor needs in their business, out of the box with no need to customize. Staying connected to our clients and contacts is the name of the game. As for the TP cost, every realtor I know spends lots of money on ‘passive’ lead generation leads such as buying zip codes on realtor.com or buying leads. If they took the same money and had a well oiled lead generation machine from their database, they would close more deals. I’m always willing to talk to folks about TP8i.

  13. May I ask, how many agents add their clients as friends on facebook? To continue with that line of thinking, how many clients accept the friendship? How many clients follow agents on twitter? Are these features really important to agents?

    I just learnt that top producer is not mac friendly.

  14. I am a little upset and confused. Top Producer comes out with a app for iPhone before the Blackberry. Yet, Top Producer is not Mac-compatible?!

    When signing up for this product, it did not make it clear that it was not going to work on a apple computer…

    I recently walked into the Apple store and asked one of the sales people about CRM, and he told me about Daylite for Mac, made my Marketcircle. Super cool! I down loaded a free trial and it is a breeze. It takes some time to figure out how it works, but I am impressed. I am planning on going back to the Apple store and offering someone a $100 to come and teach me the in and outs of the program. The sales person at Apple told me that everyone in the back office uses this program.
